02 / why it matters
A PDF is good evidence and Tally XML is the direct import format. Excel sits between them: it gives a CA or bookkeeper a structured table they can inspect, filter, annotate, and carry into another working paper.
Every Excel export uses Date, Narration, Debit, Credit, and Balance so the file is easier to review than a page image or copied PDF text.
Check the extracted rows before download. Unusual or damaged PDFs may still need manual attention, and the preview makes that boundary visible.
Choose Excel for spreadsheet work, reconciliation, audit records, editing, or handoff. Choose XML when the next step is importing Payment and Receipt vouchers into Tally.
