How to Convert a Bank Statement PDF to Excel for Reconciliation

A practical workflow for turning a bank statement PDF into a reviewable Excel workbook without losing rows at page breaks or skipping the final check.

A bank statement PDF is easy to read and awkward to work with. If you need to reconcile transactions, add review notes, prepare audit working papers, or share a structured file with a client, an Excel workbook is usually more useful than a stack of PDF pages.

The reliable workflow is not “extract everything and trust the spreadsheet.” It is: convert the PDF, review the rows, check the balances and page breaks, then use the workbook for the next accounting task.

What the Excel export should contain

Keep the first workbook simple. Doxify’s bank statement Excel output uses exactly five columns:

  • Date — the transaction date from the statement.
  • Narration — the description or reference shown by the bank.
  • Debit — the outgoing amount, when present.
  • Credit — the incoming amount, when present.
  • Balance — the running balance shown for the row.

Ledger names, review notes, and reconciliation status can be added during your working process. They are not part of the core five-column export contract.

Step 1: Start with a complete PDF

Download the statement from the bank portal and check that all pages are present, readable, and in order. A missing page cannot be repaired by an Excel converter. If the PDF is a scan, has unusual columns, or contains damaged text, plan for a closer review after extraction.

Step 2: Convert the PDF into structured rows

Step 3: Review the preview before downloading

Check a sample from the beginning, middle, and end of the statement. Then look specifically for the issues that spreadsheets tend to hide:

  1. Rows that continue across a page break.
  2. Multi-line narrations that have been joined or split incorrectly.
  3. Debit and credit values placed in the wrong direction.
  4. Missing balances or an unexpected balance jump.
  5. Duplicate rows created by a repeated page header or footer.

If a row looks unusual, compare it with the source PDF before exporting. A short review now is safer than building a reconciliation or client file around an unchecked row.

Step 4: Download and use the workbook

Download the Excel file once the rows are ready. Excel is a good fit for filtering by date, sorting by amount, adding reconciliation notes, comparing statement rows with the books, or preparing a controlled handoff.

Keep the original PDF alongside the workbook. The PDF remains the source evidence; the Excel file is the structured working copy.

When Excel is not the right output

Excel is not the direct Tally import format. If the next step is to create Payment and Receipt vouchers in Tally Prime or Tally ERP, use the reviewed Tally XML workflow instead. If another system needs a lightweight table, CSV may be a better handoff.

The same reviewed extraction can support each output. The right choice depends on who receives the file and what they need to do next.

Final checklist

  • Confirm the PDF pages are complete and readable.
  • Check the five exported columns: Date, Narration, Debit, Credit, and Balance.
  • Review page breaks, multi-line narrations, signs, duplicates, and balance continuity.
  • Keep the source PDF with the workbook.
  • Choose XML instead when the next step is a direct Tally import.
