How to Move from Manual Entry to Tally Bank Imports

Plan a gradual move from keyed bank transactions to reviewed Tally imports, with a pilot, reconciliation controls, and a clear fallback.

Move from manual bank-statement entry to imports in stages. Keep the current method as a fallback, test a contained set of statements, and document who reviews each result. The goal is a process that saves repeated transcription while keeping control over classification, reconciliation, and the final Tally entry.

Stage 1: map today's process

Record where statements come from, how account and period are checked, who enters transactions, how ledger decisions are made, and how the bank account is reconciled. Note exceptions that already require manual judgment. This baseline shows what the new workflow must preserve.

Stage 2: choose one contained pilot

Select a statement type that represents normal work and define the review checks before conversion. Confirm data approval, a test or backup Tally company, an owner for exceptions, and a clear stop condition. Use the statement test plan to compare the source and output.

Stage 3: reconcile before expanding

  • Compare each row and the statement totals.
  • Review ledger assignments and voucher types separately from extraction.
  • Import into a controlled environment and check the resulting vouchers.
  • Record corrections and recurring edge cases.
  • Keep the original PDF and a linkable record of the reviewed export.

Stage 4: update the procedure

Write down the new steps, the cases that still need manual handling, and the person responsible for final review. Train staff on how to stop a questionable import and how to return to the prior process. Add accounts only after the workflow has been reviewed for their statement layouts and controls.

If you are still deciding whether to start, use the automation readiness guide. For an accounting practice, the CA-firm pilot plan covers team-level evaluation.
