A dependable bank statement to Tally XML process has more than an upload and a download. For a CA firm, the important controls are the review between extraction and export, the ledger decision before import, and the reconciliation after vouchers are created.
The workflow below works for statements from many bank formats. Bank-specific download steps may differ, and unusual, scanned, or confusing layouts may need an extra manual comparison with the source PDF.
1. Download the source statement
Download the account statement PDF from the bank portal for a defined period. Save the original file with the client working papers and note the account, period, opening balance, and closing balance. If the bank provides several PDF formats, choose the statement that shows transaction dates, narrations, debit or credit amounts, and balances clearly.

2. Extract the transactions
Upload the bank statement PDF to Doxify. The service extracts the transaction rows and prepares them for review. The result is not treated as final merely because the rows appear in a table: dates, amounts, signs, narrations, and page transitions still need inspection.
3. Review the source data
Run the three-pass review: completeness, accounting meaning, and control totals. Compare the first and last rows, check the opening and closing balances, and inspect page breaks and long narrations. The pre-import review guide has a practical sign-off list.
4. Map ledgers and voucher types
Decide whether each row belongs to a customer, supplier, expense, employee, owner, loan, cash, or other bank ledger. Then decide whether it is a Payment, Receipt, or Contra movement. Use supporting records for material items and leave unclear rows visibly provisional.

5. Replace provisional ledger names before export
Replace Suspense Account or other provisional names with the exact ledger names from the client company when evidence supports the decision. Avoid creating near-duplicate names. Keep unresolved rows in a follow-up list instead of forcing them into a guessed ledger.

6. Export the right output
Export Tally XML when the reviewed transactions are ready for voucher import. Export CSV when the next step is reconciliation, audit working papers, or a client handoff that needs a tabular format. Doxify provides XML and CSV; choose the output based on the destination.
7. Import into Tally
- Open the correct company and confirm the bank ledger.
- Take a backup or use the client's normal controlled import environment.
- Open Tally's voucher import workflow and select the reviewed XML file.
- Check the import summary for accepted, rejected, or skipped vouchers.
- Do not re-import a batch without checking whether the first attempt created vouchers.
Doxify-generated XML has been personally verified for import in any version of Tally Prime and any version of Tally ERP. The surrounding company configuration, ledger setup, and import settings can still affect the result, so review the import summary.
8. Reconcile and archive
Compare the bank ledger in Tally with the source statement. Investigate unmatched transactions, duplicates, wrong dates, and unexpected balances. Save the source PDF, review notes, exported XML or CSV, and import result together so another team member can trace the batch.
