A Practical Bank-Statement Workflow for Small Businesses Using Tally

Set up a repeatable small-business bank workflow in Tally, from statement download and transaction review to import and reconciliation.

A small business can keep bank entry manageable by separating source collection, transaction review, ledger decisions, and reconciliation. Whether entries are keyed manually or imported, the business owner should be able to trace each posted transaction back to the bank statement and understand who approved it.

Build a repeatable monthly routine

  1. Download the complete statement for the right account and period from the bank.
  2. Keep the original file in the business's approved records location.
  3. Check transaction rows, dates, amounts, and balances against the source.
  4. Assign ledgers using receipts, invoices, payroll records, and other supporting evidence.
  5. Import or enter the transactions, then reconcile the bank account in Tally.
  6. Record unresolved items and assign an owner and next action.

Do not confuse description with classification

A bank narration can help identify a transaction but may not explain its business purpose. A card payment could contain multiple purchases; a transfer might be between the business's own accounts; and a credit may be a customer receipt, refund, loan, or owner contribution. Use source documents and ask for clarification when the record is incomplete.

Choose a method that leaves a review trail

For occasional activity, manual entry may remain the simplest choice. For recurring statements, an import can reduce re-keying, but only if the resulting file is reviewed and corrections are recorded. Compare spreadsheet output for analysis with XML for a Tally import; theformat comparison explains when each kind of file is useful.

If you are evaluating a PDF conversion workflow, begin with thepre-import review checks and test one statement before changing the normal close routine.

Keep responsibility clear

The person preparing entries, the person approving unusual items, and the person confirming the reconciliation may be the same person in a small business. Even then, note the review date, preserve the source, and document exceptions. If an accountant handles the books, agree on who supplies statements and supporting documents before the close.
